Time tracking, calendar and absences

Log work with a kind of work, read the time report, plan on the calendars, subscribe from Outlook or Google, enter absences.

Time tracking needs the Time tracking module in the project; the project calendar needs the Calendar module.

Log time on a work item

  1. On the work item, choose Log time (also under More).
  2. Enter the Duration: for example 2d 4h 30m, or plain minutes. A day is the working hours from the system's calendar settings.
  3. Set the Work date, pick the Kind of work and add a Note if useful.
  4. Choose what happens to the Remaining estimate: Reduce automatically, Leave it alone or Set it myself.

The item shows Estimate, Spent and Remaining, and what was logged on its sub-items. Entries can be edited afterwards.

Kinds of work come from the system; a space picks which ones it offers and can add its own.

The time report

Choose Time in the sidebar.

  • My time shows your week; move with Previous and Next
  • Report sums logged time for a period (From, To), narrowed by space, kind of work and billable time, with totals By person, By kind and By space
  • Export CSV downloads the report

Your calendar

Calendar in the sidebar opens your calendar: your work by Month, Week or List, with the time you logged on each day. A due date is not moved here: it is changed on the work item itself.

The project calendar

The project's Calendar tab shows deadlines and starts on a month grid, with the project's start and end. Filter by assignee, type or sprint. Drag an item to another day; drag a bar's ends to change the start or the due date alone. Items with No due date are listed aside; dropping one on a day gives it that due date.

Subscribe from Outlook or Google Calendar

  1. Open Profile, Connections, Calendar subscription; the same card stands at the bottom of your calendar.
  2. Choose Create the link and copy it. It is shown only once.
  3. Add it to Outlook or Google Calendar as a subscription.

The calendar subscription is read-only and holds only your data: your dated work and, while those layers are on in your calendar, your days away and the sprints of your projects. If the link has gone astray, choose Create a new link; the old one stops working at once. An administrator must have switched calendar subscriptions on.

Absences

  1. Open a project's Calendar tab and choose Absence.
  2. Pick the Person, the Kind (Holiday or Sick leave), From and To, and choose Add.

You can enter your own absences; a team lead can enter them for the people on the team. Absences show on the Gantt chart and reduce the suggested sprint capacity.
