GoProject vs Microsoft Planner

Microsoft Planner is the task planning tool of Microsoft 365, which now also carries part of what Project for the web used to offer. It is a cloud service without defined status transitions and without a built-in help desk. GoProject is made for work that needs a clear process: workflows, a Help Desk and detailed search in your infrastructure, with Microsoft sign-in and Teams integration.

Why teams move from Microsoft Planner

The problems we hear most often, and how GoProject addresses them.

  • “Buckets are not enough to control the work process.”

In GoProject each work item type can have a workflow of its own. A work item moves only along the defined transitions, within the conditions and checks set for them.

  • “Conversations about tasks scatter across Microsoft 365.”

In GoProject comments stay on the work item. Notifications are gathered in one inbox, and the ones you do not need can be muted or received as a digest.

  • “Advanced planning needs another licence level.”

Gantt, Scrum boards, sprints and capacity planning are included in the GoProject licence. For each project switch on only the modules it needs.

  • “Business requests arrive by e-mail and get lost among other messages.”

The GoProject Help Desk turns incoming e-mails into tickets with SLA deadlines by working calendar. Customers can also submit tickets and follow them in the customer portal.

  • “Test cases and test runs live in spreadsheets beside the tool.”

Test management is built in: test cases with steps and expected results, test plans, and cycles for regression, smoke and acceptance tests, run step by step. A failed test becomes a bug on the spot, and every cycle is tied to its release.

Where Microsoft Planner is ahead today

We say this openly too. In these areas Microsoft Planner offers more today, and GoProject still has work to do.

  • Included in the Microsoft 365 plans that many organisations already use.
  • Close integration with Teams and Outlook, and iOS and Android apps.
  • Copilot capabilities with the matching Microsoft licence.
  • Single sign-on with Microsoft Entra ID across the whole Microsoft 365 environment.
  • No server environment of your own to maintain.

Moving from Microsoft Planner

Import the data straight from Microsoft Planner. Connect Microsoft Planner through Microsoft Graph, using an app registered in your Entra ID environment. A plan is moved as a project, buckets as statuses, and completed tasks land in the completion status. Labels, priorities, dates and assignees are moved as well, while the checklist is kept in the description of the work item. Planner references are moved as links.
