Documents

Pages beside the work: templates, the editor, history, approvals, public links, PDF and links to work items.

Documents are pages kept inside a project: specifications, decisions, meeting notes. They need the Documents module; the project then has a Documents tab.

Create a page

  1. Open the project, Documents, and choose New page (or Add a page under it on an existing page). The Create a document quick action does the same and asks for the project.
  2. On a blank page, Start from a template offers ready structures; rest the pointer on one to preview it. Or just start writing.
  3. Give the page a title.

Drag a page onto another to nest it; drop it on empty space to make it top-level. Search the pages finds a page by the words in its title or its text.

Write

Choose Edit to write and Done when you have finished; a page you have just made opens for writing by itself. The page saves itself a second after you stop typing; Ctrl+S saves at once. The toolbar has a heading, bold, italic, strikethrough, bullet, numbered and task lists, quotes, code blocks, tables and links. Also:

  • Attach a file, or paste an image and resize it
  • Embed a link: YouTube, Vimeo, Loom, Figma or a Google document
  • Insert: an info, warning or tip note, a spoiler or collapsible panel, two or three columns, or a coloured badge
  • Insert a field: a live Progress bar (counted from the linked work items or set by hand), a Status chip, a Date or a Person

Several people can write the same page at once: you see who else is writing and where, and nobody's words are lost.

While editing, select a sentence and choose Create a work item: it becomes a work item and the link stays on both ends. Linked work items lists them.

History

History keeps the page's earlier versions. While one person keeps writing, their saves fold into one entry; a new one starts when somebody else writes or after a break of ten minutes. Open one to see what changed since that version, Restore it (restoring adds a new entry, nothing is lost), or delete a single history entry.

Approval

  1. Choose Add a reviewer for each person who must approve.
  2. Pick how long the approval stands (the system default or a number of days).
  3. Choose Send for review.

Reviewers are notified and choose Approve or Send back, with an optional note. The page shows Draft, In review, Approved, Sent back, or Due for review once the approval runs out.

Templates

Save as a template turns a page into a starting point for other pages of this project. The system's own templates are marked as such.

Share and export

  • Public link: choose how long it lives, then Create the link. Anybody holding it reads the page without an account until you Revoke the link. The page shows how often it was opened. A system administrator can switch public links off
  • Download as PDF saves the page as a PDF file

Google Drive

When the project has the Google Drive module on, its Google Drive tab lists the files of the project's Drive folder and the work items they are tied to. From a work item, Attach from Drive, or choose New to create a Google document, sheet, slides or folder in the project folder.
