Search and saved filters

Find work with the basic filter elements or the advanced condition builder, save the search as a filter, star it and share it.

The search page answers questions such as "everything overdue in my team" across every project you can see. There is no query language to learn: you build the question from fields and conditions.

  1. Choose Search for items in the sidebar.
  2. Type into the box: a key, a summary, or a word said in a comment.
  3. Narrow it with conditions (below), then read the table. Columns chooses what the table shows.

Basic mode

Basic offers filter elements. Space, project, type, category, status, assignee and hierarchy (only parents or only sub-items) are always on the row; Filter adds the rest: reporter, priority, label, due date, created, updated, sprint, release, team, component, affected versions, security level, parent item, estimate, original estimate, remaining time, time spent, I follow and the custom fields. Every filter element you add narrows the answer. Date chips offer ready ranges such as Overdue, This week or Last 7 days, and periods of your own.

Advanced mode: the condition builder

Advanced lets you write conditions joined with AND and OR, and ask about the history of a field.

  1. Choose Add row. Pick the Field, the Condition and the Value.
  2. On the second row, choose whether AND or OR joins the rows; the choice holds for every row of the group.
  3. To bracket conditions, choose Add group: the rows of a group are evaluated together, like a pair of brackets.

Conditions include is, is not, is empty, is not empty, greater than, less than, between, before, after, contains and does not contain. For history:

  • was ever and was never: the field held that value at some time, or never did
  • has changed, changed after, not changed since and changed by

Save a filter

  1. With a search you want to keep, choose Save filter and give it a name.
  2. After changing a saved filter, choose Save changes, or Save as new for a new one.
  3. Star a filter (Pin to the rail) to keep it in the sidebar under Filters. The star is your own.

Filters in the sidebar opens All filters: My filters and Shared with me. A filter someone gave you can be kept with Save as my own copy.

Share a filter

  1. Open the filter's actions and choose Share.
  2. Pick People, Groups or Projects.

What you share is the question, not the answer: everyone who opens the filter sees only the work they are allowed to see. People you share with get an inbox entry.

A filter can also come to you by e-mail. With the filter chosen on the search page, open its actions and choose Send by e-mail, pick Every day or Once a week and the hour, then choose Subscribe. The letter lists what the filter finds as you see it: the first 30 items and the total. Only when something matches spares you empty letters, and Stop sending ends it.

Export

Export CSV writes the items that answer the search into a file, the first 5000 at most. Choose Table columns or All fields, or tick fields one by one, and pick Comma or Semicolon (Excel in a European locale opens semicolons).
