Inbox and notifications
What lands in your inbox, how to read, archive and snooze it, and how to choose which notifications you receive.
The inbox is the record of what happened to work that concerns you. The bell in the top bar shows the unread count and updates live.
What notifications you receive
For events on a work item, your administrator decides which of them notify which people: the Assignee, the Reporter and Followers. What can arrive:
- Work item created, assignee changed, new comment
- Work item edited, status changed, resolved, deleted
- Due date changed, due date overdue (once a day while the work is not done), estimate exceeded
- A mention in a comment, a description, on a page or in the chat, and a notice that your approval is needed
- New page in a project, page review request, page approved, rejected or due for review again, an answer in a comment thread on a page
- A filter shared with you
- A reminder when this week's check-in still waits for your answer, a project status report and a reminder that one is overdue
- A timesheet handed in, approved or returned, and system notices such as an automation that switched itself off or an API token about to run out
A mention is addressed to the person mentioned: the administrator has no switch for it, and a mute does not hold it back.
Work the inbox
- Tabs: Inbox, Unread, Archived
- Entries are grouped into one card per work item, page or project; click a card to unfold its events
- Each row's menu: Read, Archive, Snooze until tomorrow, Snooze until Monday
- Mark all as read clears the unread count
- Narrow by Space and Activity (comments and mentions, assignments, status changes, edits, due dates, system notices), sort newest or oldest first, or Search a work item
Choose which notifications you receive
Open Profile, Notifications. For each event, switch Inbox and, where it is offered, Email on or off. What the administrator has switched off shows a lock and cannot be switched on here. Your administrator may batch e-mails into one letter per period; a mention still goes at once.
Follow and mute
- Follow on a work item brings its news to you; Unfollow stops it
- Mute this item or Mute the project (the bell button on its page) silences it completely, except when someone mentions you. Profile, Notifications, Muted lists what you have muted, with Unmute
Slack and Microsoft Teams
When your administrator has connected Slack or Teams, Profile, Notifications, Messages in Slack and Teams lets you receive your own news as a direct message and choose what to send. Mutes apply there too. Slack finds you by e-mail; if your Slack address differs, type /goproject link in Slack. In Teams, send "link" to the GoProject bot.
